Thank you for considering Pinewoods on Moose Pond, Maine for your vacation. Below is a list of the terms and conditions that appear in our rental contract.
Arrival Day and time: Saturday after 3pm
(Sorry, but due to our agreement with our cleaning company, we cannot arrange earlier arrivals.)
Departure Day and time: On a Saturday, no later than 10 am.
Pets Allowed: No Smoking: No
Security Deposit: $ 500.00 (Refundable, due at time of booking.)
Rental Rate: $3100.00 per week
Departure Clean: $ 140.00 once on departure
9 % Me. Lodging Tax: $ 291.60 per week (on rent + cleaning)
Total Weekly Amount (not counting refundable security deposit) : $3,313.60/wk due 90 days prior to arrival date. (However, for multiple weeks, there is only one $140 cleaning fee, unless more than one cleaning is requested by Guest.)
THE BOOKED PROPERTY WILL BE TAKEN OFF THE RENTAL MARKET AND WILL BE HELD FOR YOU. IF YOU ARE UNABLE TO KEEP THE RESERVATION FOR ANY REASON, NOTIFY US IMMEDIATELY SO THE UNIT CAN BE PLACED BACK ON THE RENTAL MARKET.
Guest agrees to comply with these policies, as set forth within the rental agreement.

Security Deposit: A $500.00 Security Deposit is required along with a signed Rental Agreement to confirm a reservation. The Security Deposit is not applicable to rent. All deposits will be refunded by mail, less any amount due for damage (if any) within 30 days of the departure date, after the unit has been inspected and found to be left in good condition.

The Security Deposit shall be forfeited by Guest if the following occurs:
a) If evidence of more people are staying at the unit then the maximum amount allowed.
b) If evidence of a pet on premises is found to have occurred at Pinewoods during Guest's occupancy
(pets not allowed - including any pets of a visitor of Guest).
2. Rent and Tax: All rent monies and state lodging taxes are due Ninety (90) days prior to the arrival date. Reservations made less than 90 days prior to arrival require immediate full payment of the security deposit, rent, lodging tax and clean fee. All payments for any reservations made two weeks or less to the scheduled arrival date must be made by a bank check or money order and sent by priority mail. All lodging tax is determined by the state of Maine and subject to increase.
3. Payments can be in the form of a bank or personal check. All payments need to be made payable to: Roger W. Seiler. Due to processing fees, we do not accept credit/debit cards. All payments received are held in a noninterest bearing account.
4. A $100 handling fee is charged per reservation for any cancellation per week, provided cancellations are verified in writing to Owner or designated Agent 90 days prior to arrival date. Reservations cancelled less than 90 days prior to arrival date will forfeit the full deposit if the full payment has not been received. If the Security Deposit and rent has been received, the guest will forfeit the rent minus the Security Deposit, unless the unit can be re-rented. Shortened stays will not receive rent refunds.
5. Assignments or sub-letting by renter is strictly prohibited. Owner may designate an Agent in writing to handle interactions with the renter, including any charges or refunds due. In the event of any such designation, the owner will guarantee and remain responsible for ensuring that any refunds due are remitted by the Agent.
6. Arrivals and Departures: Check-in time is 3:00 P.M. and check-out time is 10:00 A.M. If a guest has not vacated a unit at 10:00 A.M. as instructed, a late fee will be assessed since it prevents the cleaners from cleaning the unit in time for the next arrival.
7. Checking In: Once the final payment has been received by Owner, instructions will be sent explaining the procedure for checking-in the day of your arrival.
8. Accommodations and Occupancy: Guest understands that Pinewoods is a private residence that may vary from rustic to contemporary in style. The waterfront varies from gradual entry to deep water. The amount of beach front can change due to rainfall and if the lake has been lowered. Owner will use best efforts to describe the rental property and is not responsible if Guest is not satisfied. Owner and any Agent reserve the right to make repairs as necessary and to enter the property with reasonable notice or without notice if Guest cannot be reached if a maintenance problem develops during occupancy. Amenities that are damaged during the rental season may not be repairable or replaceable during the Guests stay. Owner does not guarantee the condition of availability of any particular item. Furnishings are subject to change at Owner’s discretion.

9. Campers/Camper Trailers/Motorhomes are prohibited at the property.

10. Tents are not to be set up at the unit, unless written permission has been given by Owner/Agent to
do so.

11. All large gatherings (more than 12) have to be approved by owner before being held at Pinewoods.
12. Guest understands that this property is a private residence and agrees to indemnify Owner for any loss or damage to the home and its contents including cookware, dishes, electronics, etc., and property during Guest’s stay. It is the Guest’s responsibility to notify Owner upon arrival to report any existing damages. Damages found after Guest’s departure will be assumed to be the liability of the Guest. Damages and excessive cleaning, if any, will be deducted from the Security Deposit. Owner has the authority to inspect the home during the Guest’s stay. Please make sure to lock all doors whenever the home is left unoccupied. Any furniture that has been moved needs to be put back in its original place prior to departure.
13. Guest Default: Any Guest that defaults on the rental agreement shall forfeit all payments made and agrees to vacate the leased premises immediately and remove all belongings upon notification. The rental agreement shall also terminate immediately and monies forfeited in full, if any disturbance is caused resulting in police action or neighborhood complaints. Guest is responsible for all costs and expenses, including attorney fees, if a lawsuit exists to obtain possession of property.
14. Guest understands that the provided phone has a long distance block on the service that requires the use of a calling or credit card to make long distance calls.
15. Pinewoods is inspected and cleaned after each departure. Guest’s are asked to leave the home in the same condition as upon occupancy. All trash is to be removed according to instructions, all dishes are to be washed, dried and put away. A handling fee will be assessed for any trash left behind. Each home is furnished with blankets, bedspreads, and pillows. Guest’s supply their own linen’s such as: sheets, kitchen, bath and beach towels and extra paper products.
16. Lawn Furniture/Gas Grill/Campfires: The property may not include wood for the outdoor firepit and a Guest may have to purchase firewood for their use. Permission must be obtained for any changes to the provided fire pit. Gas is provided for the gas grill.
17. Property Rules and Regulations: Guest agrees to obey the rules/regulations of the Owner herein and in the property User's Manual provided on site.
18. If the home becomes listed for sale, it will be subject to showings, and should the property sell prior to Guest arrival, best efforts will be made to locate comparable accommodations for Guest or a full refund will be provided.
19. Joint and Several Liability: Should one or more persons execute this agreement, all such persons shall be jointly and severally liable for all terms and conditions set forth in this agreement and reservation confirmation.
20. Floating Devices and Watercraft: with any type of watercraft, such as a canoe, kayak, paddleboat, rowboat or floating devices such as a swim float, dock or mooring, provided with the unit, Guest assumes full responsibility and risk associated with the device. Neither the Owner or its Agent (if any) make any representation as to the soundness or safety of said devices. If Guest uses them with or without permission, that action shall be construed as a statement of that individual’s competence to handle or utilize them, and the Owner or Agent (if any) shall in no way be legally accountable for any damages or injury to any persons or property resulting from such use.
21. Attorney Fees: In the event of any controversy, claim or dispute between parties hereto, arising out of or relating to this agreement or breach thereof, the Owner or Agent shall be entitled to recover from Guest all costs and expenses, including attorney fees.
